202.2.2.5 Manage a Proposal

In order to Create/Modify/Duplicate proposals using the Sales module, go to the related "Proposal > Running" section and follow the procedure detailed below:

1. Select a proposal


Proposals can be managed in the following ways:

New - Creates a new empty proposal.

Open - Search and retrieve existing proposal matching the following filters:

Order No. - 
Enter here the entire ID of the proposal(s) to be filtered.

Code - Type the starting characters of the code of the proposal(s) to be filtered

Description - Specify the starting characters of the proposal description to filter the proposals.

Line ID -
Specify the entire ID of the proposal line(s) to be filtered

Date - Specify the validity period of the proposal(s) to be retrieved.

Customer - Indicate the customer that associate to the proposals.

Spot code - Select the spot code of the proposal(s) to be retrieved.

Only to reevaluate - If enabled, only those proposals waiting to be reevaluated would be filtered.

NB: If the parameter "enable orders visibility for all stations" in Etere Configuration is disabled (default) only those orders created from the current station or with lines assigned to the current station would be listed. If the parameter is enabled, all orders regardless of the station from which they were created or for which their lines were assigned would be displayed.

Duplicate - Creates a new proposal based on the selected proposal (only general data will be duplicated, not the lines).

2. Compile its General Data

Compile all the proposals general data as described in the General Data chapter. Once compiled, press the <Save> button to store the proposal in the system database.

3. Compile its various lines

Enter into the proposal all the lines (i.e. scheduling terms) offered by the account executive, this, under the dedicated Lines tab.
Depending on the interface used for compiling proposals, please refer to either the Proposals Lines, the Proposal Lines Model 1 or the Proposal Lines Model 2 chapters for detailed information on this operation.

4. Send the proposal

Once the account executive has finished elaborating the proposal, the proposal would be sent to the supervisor or the customer for approval, simply click on the [AirSales_Sales_Salesman_SentButtonSend to evaluate] button and select the appropriate action.

A
Send to Evaluate - 
Send the proposal to be evaluated by the supervisor, if the proposal is approved, the proposal would be moved to the 'scheduled' section (as well as to the 'approved' section) where the account executive would be able to consult and modify the scheduling status of the proposal.

B
Send to the Customer - 
Send the proposal directly to the customer for evaluation (without passing through the supervisor control), the proposal would be moved to the 'Send to customer' section where the proposal would be either approve  (i.e. send to the 'approved' section) or reject (i.e. send to the 'rejected' section).

NB:
If the auto-approval is enabled either from the Sales Parameters (for all customers) or from the Personal Data (for specific customers), as soon as the proposal is sent it would be approved or rejected immediately.

5. Monitoring Proposals

Proposals can be monitored according to their status (e.g. running, sent to evaluate, approved, rejected, expired, etc) by accessing the proper area under the Proposals section, further information on this function is clearly explained in the following chapter: Monitoring Proposals.

6. Invoicing Proposals
Depending on the settings in "Configuration > Settings > Air Sales > Invoicing > Invoice only transmitted events" (enabled/Disabled), events derived from proposals can be invoiced either when scheduled (disabled) or after transmitted (enabled).
