Account Executive Mode

202.2.2.6 General Data

The General tab allows to compile the relevant data regarding the parties involved in the sales proposal as well as the commission received from this sale proposal (compulsory fields have been underlined):

PROPOSAL


Date - 
The proposal's creation date.

Types - Indicate the status of the document (default=proposal). Other available types includes:

Order - The proposal is an order intended to be managed by the Orders module.

Proposal - The proposal has been created and made active under the Running section.

Approved - The proposal is ready to be scheduled and can be consulted under the Approved section.

Rejected - The proposal has been rejected and moved to the Rejected section.

Evaluate - The proposal is pending approval/rejection in the Send to Evaluate section.

Archived - The proposal has been moved from the approved/rejected list to the Archived section.

Reevaluate - The proposal has been sent back for reviewing to the Running section.

Expired - The proposal has reach its expiry date.

To schedule - The proposal is waiting to be scheduled.

To customer - The proposal is waiting for a customer evaluation under the Send to Customer section.

Customer rejected - The proposal has been rejected by customer and moved to the Rejected section.

NB: This field can be modified only if the account executive is granted with the "change proposal status" right.

Expiry date - The predefined (and not editable) value date set by a Supervisor.

No. - The identification number automatically and consecutively assigned by the system to the proposal during its creation.

Code - The code of the proposal, which can be defined at the discretion of the account executive including alphanumeric characters.

Description - Insert a brief description for the proposal (more detailed the description the easier it will be to search for it)

NB: If the "enable check unique proposal description" option is enabled in "Air Sales > Configuration > Parameter", it won't be allowed to give proposals an existing description (i.e. already given to another proposal).

Owner - The current logged account executive. This field can be modified if the account executive is granted with the "change proposal owner" right.

CUSTOMER


Customer - Insert here the entity to which the proposal is directed.   Once the customer is selected, it will be automatically retrieved from the following fields in Personal Data (if available):

classification - media center

agency - Account Executive

agency commission - Account Executive commission

payment - VAT

discount - etc

Moreover, if the "automatic proposals approval" is enabled in customer's "Personal Data > Other data", the proposal will be automatically approved once sent to evaluation (even if auto-approval is disabled).

Agency - Specify the agency (and its related commission) involved in the sales process.

End-User - Indicate the entity to which the sales proposal is actually targeted, the company or person to which the promoted product is belong.

Note:
The definition of customer, agency and end-user fields depends on how advertising is commissioned:

Case A - If the TV Station liaises directly with a customer (e.g. WhiskeyJar) for the commissioning of said customers' commercial events, set: "Customer=WhiskeyJar".

Case B - If the customer (e.g.: WhiskeyJar) uses an agency (e.g. EvilAgency) for the commissioning of its commercial events and the TV Station liaises directly with the agency, set: "Customer=EvilAgency" and for information purposes only "End-User=WhiskeyJar".

Case C - If the customer (e.g. WhiskeyJar) uses an agency (e.g. EvilAgency) for the commissioning of its commercial events and said agency takes a percentage commission but the invoices run directly between the TV Station and the customer (e.g.: WhiskeyJar), set: "Customer=WhiskeyJar", "End-User=WhiskeyJar" and "Agency=EvilAgency".

Media center - If the station use a Media Center for statistic calculations and if they are paid a commission, select and insert their data and commission % in the appropriate fields.

Price color - Choose the price list to be used for the proposal. Using a color that is different from the customer's default color would be observed by the supervisor during the 'automatic data check' approval' stage. Consult the Price Lists for further information.

Charge to... - Specify how invoice transactions (see Invoicing modes) should be moved between accounts:

Customer - The invoice will be entirely charged (i.e. gross) to the customer, who will be expected to pay the invoice to the station.

Note:
This is automatically selected if the customer doesn't have an agency.

Customer and wait for agency invoice - The invoice will be entirely charged (i.e. gross) to the customer, but the agency would be expected to pay the invoice to the station.

Customer share indicating agency's percentage - The invoice will be charged to the customer but only for its due share (i.e. net), for the total amount minus the deducted agency's commission (which will be paid by the customer directly to the agency).

Agency with credit note - The invoice will be entirely charged (i.e. gross) to the agency who will be expected to pay the invoice to the station.

NB:
When creating new orders for customers having an agency, the value set by default will be the one set in the "If customer has an agency charge to" option under Etere Configuration > Settings > Air Sales > Invoicing.

Invoice header - This parameter, which by default is set to 'customer', allows to select the entity to which the invoice will be directed (including its relevant data   in the invoice).:

NB: When creating new orders for customers having an agency, the value set by default will be the one set  in the "default invoice header" option under Etere Configuration > Settings > Air Sales > Invoicing section.

Payment - Select the payment data to be used in the invoice (Etere Configurations > Settings > Invoicing > Payment).

Discount - If the customer is entitled to a discount percentage, insert it here in order to take it into account during the invoicing process.

VAT / GST / IVA code - Select the code of the Value Added Tax to be used for this proposal.

NB: VAT Codes are preset in "Configuration > Settings > Invoice Archives > VAT codes".

Unconditional Discount - It is the fixed amount of money that will be discounted from the total amount of the proposal.

Account Executive 1,2,3,4,5 - you can retrieve the up to five account executive associated by default to the selected customer, they cannot be added/removed, however, their commission can be modified.

Customer Order Ref. - The reference code of the Order pertaining to the customer.

Contact person - The name of the person to be liaised with pertaining to the Order.

Invoicing - Specify the way the order will be invoiced, available types include:

Post-paid - Events would be paid after used, only scheduled/transmitted events would be invoiced.

Post-paid in installments - Events would be paid at the use, according to an installments plan.*

Prepaid - Events would be paid in advance, all events would be invoiced regardless of their scheduling.

Prepaid in installments - Events would be paid in advance, according to an installments plan.*

* Installment plans can be set through the [Installments] toolbar icon as explained in the "Installments" chapter.
