ACTION DESCRIPTION
A worksheet action is a template used within T-workflows to manage and monitor and invoice any station operation, allowing, for example, to manage production operations such as subtitles, dubbing, promotions, etc.
Etere allows using worksheets as a T-workflow step that permits the request of the performance of a particular operation (e.g. outdoor shooting) to proceed with a subsequent T-workflow step (e.g. video editing). Once executed, worksheets are assigned to the assignee intended to perform them either manually (from the Resources Manager) or automatically; in the latter case, worksheets will also be inserted as a task into the assignee's Agenda (being also synchronized with its outlook) to remind him/her about performing and then compiling the worksheet either from the MAM > Agenda module or the Media Library > Worksheet tab.
Note: All operations derived from worksheet actions are recorded in the system. Recorded logs will be available from both the "Media Library > Operations" tab of the related asset and the Media Library operations [Resources Manager] report.
ACTION PARAMETERS
To create a worksheet action, it is enough to compile the following data, which the wizard requires:
Name - Give a name to the work order (e.g. dubbing work order).
Description - Enter a brief text that brings additional information on the scope of the work order.
Category - Use it to indicate, for example, the type of process to which the work order is related (e.g. media).
Subcategory - Use it to define a further classification within categories (e.g. subtitling).
Back colour - Set the colour for displaying the action block, for example, inside the T-workflow.
Cost - Select the cost template to be used as the default cost for the work order compilation, specifying the unit to which it is ascertained (i.e. one tape, 2 hours, 150 dollars).
To assign - If enabled, the worksheet must be first assigned (manually from the Resources Manager or automatically to an assignee/group/role) to be available as a task for operators. Instead, if disabled, the worksheet will be available for being undertaken by any operator.
Management - Optionally, select the quick management feature to enable quick access from the Agenda View to complete the task. Supported jobs include: Media library, Subtitles tool, Asset ingest, Metadata Indexing, Video file upload, Video file download, Censorship, Story creator, Flexi-metadata.
Note: Selecting Flexi-metadata to manage the T-workflow launches the "Mandatory" section to allow specifying the Flexi-metadata.
Note: Detailed information on each feature is available in the Quick Management Features section of the Resources Management chapter.
Confirm by password - If enabled, users will be prompted to authenticate themselves by using a password before closing a worksheet, that is, when entering the task result.
Note: Passwords are the same for each user in the Personal Data > Other data section.

Automatic assignment
Every time a T-workflow gets into the current worksheet, it will be automatically inserted in the Agenda of the person assigned through any of the following methods:
Assignee - The worksheet will be automatically assigned to the selected user; it will be displayed as "available" only for that user (thus allowing him to undertake the worksheet). It will be shown as "not available" for all the rest of the users.
Note: Users available here are those enabled to take jobs on Configuration > Personal Data > Other data.
Group - The worksheet will be automatically assigned to the selected group and displayed as "available" only to group members (thus allowing one of them to undertake the worksheet). You can set the action to one user group at a time. It will be shown as "not available" for the rest of the group users.
Note: Groups available here are configured in Configuration > Configuration Editor > Users > Permissions.
Role - The worksheet will be automatically assigned to the role's user set as a person in charge of the Asset; it will be displayed as "available" only for that user (thus allowing him to undertake the worksheet). It will be shown as "not available" for all the rest of the users.
Note: Roles available here are defined in Configuration > Personal Data > Roles. Please note that enabling an automatic assignee/group/role concerns only the assignment of the worksheet, not its undertaking or execution.
Deadline - Specify here the deadline (e.g. next 36 hrs) for the task to be assigned to the operator's Agenda.
Note - Optionally, include a message to be shown to users (automatically assigned).
Note: Worksheet assignment occurs when the T-workflow gets to the related worksheet action, thus making it available for an operator to undertake and compile it.

States info
Worksheets can feature many outputs defined through the following methods:
Number - Set how many possible results the action will feature.
Flexi-metadata - Searching a Flexi-metadata item from which states will be automatically retrieved.
Note: Please note that to be available here, metadata must be boolean or integers/strings (with a list of preset constraints) and enabled for at least one metadata layout.
Once the method has been selected, either number or Flexi-metadata, press the [Generate states] button to generate the action states as specified.
States info - Insert a description for the just generated action states (e.g. pending, completed, failed, etc.).
