9.1.1 Etere Collection

The first Collection category displays all collections the logged-in user can access; the collections are grouped into folders and parked under the Assets Collections tree.

Collection

For each Collection, there are available information:

  • Name: The name of the Collection;
  • Colour: Associated colour code of the Collection;
  • Creation date: The date and time the Collection was created;
  • Last modified: The date and time when the last modification was done on the Collection;
  • Sharing: It indicates the sharing status of the collections;

Any assets residing in the Collection would be displayed in the bottom panel.  You can select any asset or multiple assets from the retrieved items and activate any action listed in the <Action> menu described in the later part of this manual.

Action Menu

Within the Collection category, the Action menu provides a list of functions to manage the items:

  • New folder: This action creates a new folder in the Collection and gives a new folder name;

    A folder must be created before creating the Collection.

  • New Collection: This action creates a new collection in the selected folder;

    You must select an existing folder when creating a new Collection.

  • New item: This action creates a new item under the selected Collection.  You can use the Search form to locate assets and add new items by selecting assets from the search results;

  • Edit collection: The Edit Collection action allows you to edit the style of the Collection and modify the sharing attribute to the Collection, e.g. Private, Public read-only, or Public; Edit collection
  • Share collection: In the Collection category, this action allows you to share a collection with a user group or multiple user groups;

    When more user groups are selected from the left panel, the users in the group will be appended to the right panel.  You can set or deselect the user groups to ensure the right users are included in the selection.

    When you click the <Share> button, a confirmation message indicates that the Collection is properly shared.

  • Delete an item: Use this action to delete the selected item from the Collection;

  • Delete Collection: By selecting the Collection and executing this action, it deletes the Collection from the Collection module;
  • Delete folder: This action deletes a folder from the Collection.  You must click <OK> to proceed with the deletion;

    Upon deletion, you will be notified with a confirmation message.

    If the folder contains items, the following message would deny the deletion.

    WARNING: The Delete Folder function is available from Etere released version 30.1 onwards.

  • Select all results: Within the Collection, use this action to select all the items in the search form resulting from the assets search;

  • Launch workflow: By selecting an asset (or multiple assets) and executing this action, enter the name of the T-workflow in the text box to complete the T-workflow action (e.g. Censorship Test) for the selected assets.

  • View on workflow monitor: By selecting an asset (or multiple assets) and executing this action, it opens the T-workflow monitor for the fixed assets;

    You can monitor the selected assets from the workflow monitoring panel by clicking on the PopViewAsset icon at the top right corner.

You can click the <Refresh> button to update the displayed view.  Else the Auto-refresh would be triggered at intervals of 10 seconds.

In addition, when assets are filtered into the Result Search display in the Assets Search form, you can select assets/assets from the search form and add fixed assets to an existing collection or new Collection.

For this instance, select multiple assets from the search result and execute the "Add to collection" action from the drop-down list.

Next, in the following dialogue box, select any existing collection to add the fixed assets, or specify a new collection and store the assets in the Assets Collection folder under the new Collection.

  • Add to Collection: This action adds the selected asset to an existing collection or new Collection, which the Collection contains all purchases with the same type or similar description.  By using the Search function, you can select one asset or multiple assets and execute Add to Collection to add fixed assets to the Collection;
  • Add asset to seasons: This action adds the selected asset to s seasons as a new episode.  You can search for existing seasons, select a single asset, and create a new one.  The new season would have the chosen asset's title, type and other properties.
